Amalgamation Vote 2011

Dear Beaver Valley Athletic Association Member:
Enclosed is a Notice of a Special General Meeting that will be held on Sunday, June 5th at 7:00 pm with respect to allowing the the Beaver Valley Athletic Association and Meaford Amateur Athletic Association to create a new Minor Hockey Association by formally blending their teams and operate as the Georgian Shores Minor Hockey Association.
Why are we voting again?
- Based on the experience of this past hockey season and the projected registration numbers for the 2011-12 season, the Hockey Committee felt it was necessary to look at formally blending teams again with Meaford.
- A motion on behalf of the Hockey Committee was put before the BVAA Executive on January 24, 2011 to hold a vote on amalgamation and the vote passed.
- A resolution was signed by 25 BVAA members and presented to the BVAA Executive on January 24, 2011 to hold a special general meeting to vote on amalgamation.
What are we voting on?
- This vote is to allow the BVAA and MAAA boys’ and girls’ teams to formally blend teams operate as the Georgian Shores Minor Hockey Association. There is provision in the constitution for a two year trial period. During the first two years, at the signed request of 25 or more members in good standing of the Association, there shall be a vote to determine whether the amalgamation would become final.
- If a vote is requested as outlined above; a motion to approve the amalgamation will be presented at a special general meeting by the executive of the Beaver Valley Athletic Association and the Meaford Amateur Athletic Association. The amalgamation must be approved by 2/3 vote of the members present at such meetings. The special general meetings must be held prior to May 31, 2013.
- The signed request as outlined above must be submitted to the Board no later than April 15, 2013. In the absence of a signed request of 25 or more members, the amalgamation will be deemed final.
Who will run this new association?
- For the initial Board, five (5) executive members will be appointed each of the Beaver Valley Athletic Association and the Meaford Amateur Athletic Association.
- After this initial Board, on an on-going basis, in addition to the elected Board, there is provision for one (1) executive member to be appointed each of the Beaver Valley Athletic Association and the Meaford Amateur Athletic Association.
Who gets to vote?
- The full membership of the BVAA is entitled to vote on the issue, and a 2/3 vote is required to pass the motion

You will find a copy of the draft constitution on the BVAA web-site along with all documents included in this package. Copies of the Constitution can also be found at the L.E. Shore Memorial Library, Town Hall, the Thornbury and Clarksburg Post Offices and the T. D. Bank in Thornbury.
Lastly, if you have to be out of town on June 5th and are unable to vote, please let me or any member of the BVAA executive know. A resolution was passed at the last meeting that will allow for you to vote in advance.
